Updating Their Form Application

Boland implemented GoFormz as a complementary solution to Procore. “Our project managers on construction sites needed a mobile tool to help them improve their processes,” explained Aileen Klippel, IT Project Manager for Boland. “One of the workflows they have is an annual inspection form. With that annual inspection form, there’s a list of questions they have to complete to ensure we meet our customers’ compliance requirements.” This process was outdated and lacked a number of critical capabilities. “We needed a system that would work on both iPhone and Android operating systems. Fortunately, our Procore customer success manager told us about GoFormz.”

One of Boland’s primary objectives for selecting a digital form solution was improving efficiency. “We wanted something that would be fast,” noted Klippel. “Previously, it would take a technician 40 minutes to complete a form because there was a lot of manual effort required on their end.” GoFormz’s open API and integration capabilities play key roles in streamlining this process, allowing the team to automatically populate forms with data to streamline their form-filling process. “Ultimately, we went with GoFormz because of the positive feedback we received right away from the team and the complete buy-in when we were conducting interviews.”

The Salesforce Integration

Boland relies on Salesforce when completing one of their most crucial documents, the lead form. “We have integrated GoFormz with Salesforce and as a service company, that’s been incredibly helpful,” Klippel explained. “We get on average ten leads a day and we may get ten work change authorizations a week.” Leveraging Data Sources, the Boland team can simply pre-fill forms with data pulled from Salesforce records. “We have dispatch numbers, so when we get a service call from a client, they have a service call ID number and that ID number is associated with their address, contact information, and account name,” explained Klippel. “That information gets pulled into GoFormz and auto-populates in the lead form. So now the technician doesn’t have to sit there and type in all this information.” Once this information is captured and the form is completed, GoFormz triggers a workflow to automatically create a Salesforce opportunity. “Everyone is extremely happy with the integration, especially the sales team because they don’t have to wait for somebody to input that information. It’s all automatic.”

Efficiency and Time Savings

By integrating GoFormz with their existing tech arsenal, the Boland team has achieved significant time savings. “Fewer phone calls to the sales assistant means there is less information to manually input. Now our technicians have the tools they need to do everything in the field,” explained Klippel. “And with form data automatically entered into Salesforce, we took a 40-minute process and cut it down to less than 10 minutes. So GoFormz adds immense value to our processes.”

By integrating GoFormz and Salesforce, three sets of information are now added concurrently. "In the past, the technician had to contact the manager, who would manually input the data into Salesforce to generate the estimate and populate a proposal,” Klippel explained. “Now, our estimate form eliminates the need for entering data twice." Currently, Boland's workflow involves creating a Salesforce opportunity, generating an estimate, and subsequently generating a proposal.

Boland also credits their efficiency improvements to GoFormz’s easy-to-use interface and superior support. “GoFormz is so easy to use! I can’t speak more highly of a product,” stated.
